Fair and Sustainable Usage Policy

Every OpsHQ subscription includes reasonable storage, email delivery, bandwidth and platform usage for a typical volunteer organisation.

We do not charge per committee member or administrator.

Organisations with unusually high email volumes, storage requirements, bandwidth use or automated processing may require an additional allowance or a separately agreed plan.

We will discuss this with you before introducing additional charges. OpsHQ will not automatically upgrade a paid third-party service on your behalf.

OpsHQ Communications includes a reasonable email allowance suitable for normal club newsletters, notices and volunteer communications.

Sending limits may apply during onboarding and may vary according to sender reputation, provider limits and responsible-use requirements.

Higher-volume email delivery can be arranged where needed and may incur additional provider or usage charges.

Standard storage is included for normal organisational records, documents, images and campaign assets.

Very large archives, unusually high media storage or sustained bandwidth use may require an additional storage allowance.

OpsHQ may apply immediate technical limits where needed to protect security, email deliverability or service stability.

A protective limit does not automatically change the subscription price or authorise an upgrade to a paid third-party service.

If an organisation consistently needs materially higher email, storage, bandwidth or automated processing capacity, OpsHQ will explain the requirement and discuss an additional allowance or separately agreed plan.

No additional usage charge is introduced without discussion and approval.

Founding Clubs includes guided initial setup. Standard subscriptions include normal account setup and onboarding guidance. Data migration, extensive configuration and other specialist services may be quoted separately, with approval before any charge.

Not every migration or setup request is chargeable. Where unusually large, incomplete or complex work requires specialist effort, OpsHQ will explain and quote that exceptional work before starting.
